HOW DO I KNOW WHAT SIZED TENT(s) ARE NEEDED FOR MY SPECIAL EVENT?
The best way to find the correct sized tent or number of tents that are needed for your event is to consult a Special Events Professional for advice. These Professionals are working in the Catering Departments of the Hotel that will host your outdoor event, and they will be very familiar with their tent locations. Most "Full-Service" Catering Firms also have Off-Premise Managers that are qualified of drawing your event to scale, which will include the size of your tent(s) that are needed. We, here at Hawaii Special Events, can also help you to configure the correct sized tent(s) that are needed for your Special Event.
WHAT KIND OF TENT(s) SHOULD I GET FOR MY SPECIAL EVENT?
The Special Events industry has come a very long way in the development of tents for events. Tents are commonly defined as Pole Tents, Frame Tents, Freespan Tents, Peak Tents; they all have their unique qualities. Tent Canopy Tops are most common in a solid White Colored Top or a Clear Top. Any number of types of tents, lighting options, and tent accessories can be combined to create your ideal reception tent. We can help guide you to choose the kind of tent(s) that would be best suited for your Special Event.
HOW MUCH DO TENTS COSTS?
The costs of your tent will depend on the size of your tent(s), as well as the combination of tent types, lighting options, and tent accessories that you choose for your reception tent. Food Service Tents, Beverage Tents, Gift Tents, Entertainment Tents, etc. are very common extras for Off~Premise Events. A short and tight timeline to either install or breakout the tents may also require additional labor that may result in extra labor fees. Tents are usually one of the first priorities in the planning of an outdoor event; and as such, it is a good idea to be a high priority on your Check List of Things To Do. After reviewing your tent needs and wants, an Estimate will be created for your review. We are often asked if we raise prices on our tents for Weddings and Corporate events? We do not raise the price on our tents for Weddings or Corporate Events.
HOW DO I RESERVE A TENT(s)?
After a review with you of what type and how many tent(s) you will need for your event. We will email you an Estimate and a Rental Contract for you to review. After the details of your Estimate have been confirmed, we will ask you to sign and date the Rental Contract and mail a 50% deposit to Hawaii Special Events, LLC to reserve the tent(s) for your event. Once we receive your deposit, we will apply it to the Estimate, showing your deposit made, the balance due, and at the appropriate time, email you for the balance due. Your tent(s) are now reserved for your Special Event.
WHAT IS YOUR CANCELLATION POLICY?
You may cancel your rental order 60 days prior to your "Event Date" for a full refund of your Deposit. If you cancel your rental order 59 days thru 30 days prior to your "Event Date", your 50% Deposit will be non-refundable. If you cancel your rental order 29 days or less from your "Event Date", you agree to be liable for the full and total amount of the Estimate/Invoice. Only written cancellations will be considered.
DO I NEED TO SCHEDULE A SITE INSPECTION WITH YOU?
Yes, in most cases, especially if we are installing a tent(s) at an Event Venue for the first time. We will look for access points for our trucks, electrical, water, gas lines, tree branches, etc. that may be running underground and overhead at the tent site. We will confirm that we have ample electrical output for the lighting and electrical options for your tent(s). We will take measurements of the tent locations to confirm that the tent(s) for your Floor Plan can actually fit on the actual Venue Site.
